Are you stuck trying to get everyone on the same page to have the final “okay” on your design? Gathering feedback from multiple stakeholders can be troublesome, but don’t worry – UXPin comes to the rescue!
Having the needs of our Enterprise customers in mind, we’ve decided to make approval process easier for your company. We know that it’s a crucial element of the entire design process. Now you can send your work to stakeholders, ask for their thoughts and review their feedback until you get the final approval from everyone in one place!
As soon as you’re done with your current design stage, you can start the approval process. Simply hover over your prototype in the Dashboard and navigate to the approval section in the bottom left corner.
The moment you click on the “Approvals” for the first time, a welcome pop out will prompt you to add your first stakeholder. When you click the button, you will be redirected to a form where you can input all details about your reviewer.
The person you’re adding doesn’t need to be a part of your UXPin Team
Once the person is added, you will get the main view in which you can request the approval, add more stakeholders, edit or remove them or restart the process.
When all stakeholders are listed, it’s time to get their thoughts on the project. All you have to do is click the “Request approval” button, then type in your message and share it with the world (a.k.a stakeholders).
Approving/rejecting the design
Your stakeholder will receive an email with the review request with a private and unique preview link just for their purposes.
When they open the preview, a notification will pop out asking them to approve or reject the prototype by clicking the appropriate button on the bottom of the screen.
The moment they make up their mind and click the corresponding button, they will be asked to provide a bit of insight into their decision, but that’s optional.
For our Enterprise users, we’ve made it also possible to leave comments during the Approval process! It’s a convenient way for stakeholders to add suggestions to the specific elements of the design before they approve or reject it. Such comments will be visible as Team comments and the stakeholders will be able to edit, delete or resolve them easily.
Resending the request
If some of your stakeholders decided that your design needs a couple of improvements, you can make the changes, and then resend the approval request for their verification. You can modify your message each time you send it.
When your stakeholder opens the preview again, the app will let them know that there have been changes:
If you want to keep tabs on the approval process for your prototypes, you don’t have to open the section each time. All of the stakeholders’ decisions will be listed in project activity on the right side of your dashboard.
As soon as you get a green light to move to the next stage from everyone, it’s time to celebrate! You can then adjust the status of your prototype and project.
Restarting the process
Sometimes you just have to make some major updates to the design, even though a part of your stakeholders already approved it. In such cases you can easily restart the process to make sure everyone agrees with the updated version. Your stakeholders will stay the same, but the status of their decisions will be reset.
And that’s all you have to know about the approval process to smoothly collaborate with different teams and people. The times when you’ve spent weeks waiting for a decision and consolidating feedback from different places are over! Now you’ll be able to quickly proceed from one stage of a project to another and focus on further development of the idea instead! Yay!
