{"id":12654,"date":"2016-02-23T20:31:49","date_gmt":"2016-02-24T04:31:49","guid":{"rendered":"https:\/\/www.uxpin.com\/studio\/?p=12654"},"modified":"2026-05-08T01:54:25","modified_gmt":"2026-05-08T08:54:25","slug":"practicing-collaborative-ux-design-in-a-large-organization","status":"publish","type":"post","link":"https:\/\/www.uxpin.com\/studio\/blog\/practicing-collaborative-ux-design-in-a-large-organization\/","title":{"rendered":"Practicing Collaborative UX Design in a Large Organization"},"content":{"rendered":"<p><span style=\"font-weight: 400;\">On my first day at <\/span><a href=\"https:\/\/www.britishgas.co.uk\/products-and-services\/hive-active-heating.html\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Hive<\/span><\/a><span style=\"font-weight: 400;\">, <\/span><span style=\"font-weight: 400;\">I was stepping into a collaborative design environment across a large organization<\/span><span style=\"font-weight: 400;\">. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">We already had 200,000 customers (just two years after launch), an ambitious roadmap, and a clear need for Rapid and Agile methodologies across teams\u2014especially design. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">In other words, we had to ace collaboration.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Evolving the app experience means tackling roadmap challenges together. No single person or team could drive the project forward. Collaboration becomes the driving force.<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">Collaborative UX Activities at Each Step<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">In terms of processes, we focus on being flexible\u2014and that includes everything from tools to general workflow. We use whatever we need in order accomplish a required result; it&#8217;s the freedom to be truly Agile. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">A team that&#8217;s highly effective works as a unit powered by each member&#8217;s personal strengths. Everyone&#8217;s input is heard, evaluated, and workshopped, and they know how to optimize the benefits of full transparency. This encourages team members to speak up when they have ideas, rather than wait until the &#8220;right&#8221; phase of the process\u2014or even keep silent entirely. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">We make a point to do workshop together, creating a space for all of our designers to bring their ideas and debate the positives or negatives of each. During workshops, we operate by the principle that every assumption is valid until proven otherwise. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Each step of the way, we are actively collaborating and exploring techniques for staying creatively engaged. Here are the cornerstones of our collaboration strategy that keep our momentum in high gear:<\/span><\/p>\n<h3><strong>Research<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Collect as much information as possible and <\/span><span style=\"font-weight: 400;\">share references with the rest of your team (we use <\/span><a href=\"https:\/\/slack.com\/\"><span style=\"font-weight: 400;\">Slack<\/span><\/a><span style=\"font-weight: 400;\"> or <\/span><a href=\"http:\/\/www.skype.com\/en\/\"><span style=\"font-weight: 400;\">Skype<\/span><\/a><span style=\"font-weight: 400;\"> to share between teams).<\/span><span style=\"font-weight: 400;\"> Anything from books, articles, videos of talks, new tools, etc., can lead to game-changing ideas for your product. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">As designers, it&#8217;s also important to get familiar with the design community and the <\/span><a href=\"http:\/\/pttrns.com\/\"><span style=\"font-weight: 400;\">top design patterns<\/span><\/a><span style=\"font-weight: 400;\"> used in each platform (iOS, Android, Web, Wearables). We&#8217;re big fans of <\/span><a href=\"https:\/\/dribbble.com\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Dribbble<\/span><\/a><span style=\"font-weight: 400;\">, <\/span><a href=\"https:\/\/www.behance.net\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Behance<\/span><\/a><span style=\"font-weight: 400;\">, <\/span><a href=\"http:\/\/codepen.io\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Codepen<\/span><\/a><span style=\"font-weight: 400;\">, <\/span><a href=\"http:\/\/www.awwwards.com\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Awwwards<\/span><\/a><span style=\"font-weight: 400;\">, <\/span><a href=\"https:\/\/design.google.com\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Google Design<\/span><\/a><span style=\"font-weight: 400;\">, <\/span><a href=\"https:\/\/www.ibm.com\/design\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">IBM Design<\/span><\/a><span style=\"font-weight: 400;\">, and <\/span><a href=\"http:\/\/graphicburger.com\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Graphic Burger<\/span><\/a><span style=\"font-weight: 400;\">.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">It&#8217;s also good practice to become familiar with business strategy (<\/span><a href=\"http:\/\/www.businessmodelgeneration.com\/canvas\/bmc\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Strategyzer<\/span><\/a><span style=\"font-weight: 400;\"> is an excellent place to start).<\/span><\/p>\n<h3><strong>Moodboards<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Moodboards are an invaluable technique for expressing your thought process (both to yourself and others).<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-large wp-image-12658\" src=\"https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/02\/image037-1024x883.png\" alt=\"image03\" width=\"660\" height=\"569\" srcset=\"https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/02\/image037-1024x883.png 1024w, https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/02\/image037-348x300.png 348w, https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/02\/image037.png 1042w\" sizes=\"auto, (max-width: 660px) 100vw, 660px\" \/><\/p>\n<p><span style=\"font-weight: 400;\">Photo credit: <\/span><a href=\"http:\/\/www.gomoodboard.com\/boards\/vfVGtAWy\/edit\"><span style=\"font-weight: 400;\">Go Moodboard<\/span><\/a><\/p>\n<p><span style=\"font-weight: 400;\">Use them as a vision tool, blending anything from inspirational designs to color palettes and photography if it helps convey your idea. We use the free tool <\/span><a href=\"http:\/\/www.gomoodboard.com\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Moodboard<\/span><\/a><span style=\"font-weight: 400;\"> to aggregate images and quickly send or present during product discussions with stakeholders. <\/span><\/p>\n<h3><strong>Internal Workshops <\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Get as many people involved as necessary\u2014designers, product managers, developers\u2014and invite them to comment, debate, and problem-solve together (see the <\/span><a href=\"http:\/\/bit.ly\/1cykpXz\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Three Amigos Scrum<\/span><\/a><span style=\"font-weight: 400;\"> practice). <\/span><\/p>\n<p><span style=\"font-weight: 400;\">The point is to group designers, product managers, and developers from concept until launch. Each will have different ways to tackle a problem, and all three contribute with their speciality and insight. <\/span><\/p>\n<h3><strong>Usability Testing<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Get feedback from users as early as possible. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">By building prototypes quickly with specialized tools<\/span><span style=\"font-weight: 400;\">, you can discover how users interact with your assumptions, helping to guide your product decisions from early concepts to final development. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Communicate the findings to your team with tools like Google Docs (enables quick collaboration) or even Keynote. <\/span><\/p>\n<h3><strong>Sketching<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Whether collaborating with another person, or even an entire room, sketches are often the fastest means of sharing ideas. These become part of the dialogue between designer and developer, reinforcing teamwork and brainstorming.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Resist the temptation to go straight to Illustrator or Photoshop<\/span><span style=\"font-weight: 400;\"> e<\/span><span style=\"font-weight: 400;\">very time you come up with a brilliant idea for a feature or for an interface; try sketching it first. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">While your hand is busy drawing, your mind engages in lateral thinking (see <\/span><a href=\"http:\/\/bit.ly\/1TcurPu\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Lateral Thinking, by Edward de Bono<\/span><\/a><span style=\"font-weight: 400;\">)<\/span><span style=\"font-weight: 400;\">. <\/span><span style=\"font-weight: 400;\">I keep a notepad from <\/span><a href=\"http:\/\/dotgrid.co\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Dotgrid<\/span><\/a><span style=\"font-weight: 400;\"> where I save all my the ideas. These can be scanned for use during workshops or presentations with stakeholders. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">I&#8217;ve also used <\/span><span style=\"font-weight: 400;\">Paper<\/span><span style=\"font-weight: 400;\"> for iPad to quickly sketch and share ideas with the team. It&#8217;s a path of thinking that leads to fascinating insights, both into your team&#8217;s engagement and into your users&#8217; perceptions and expectations.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">At <\/span><a href=\"https:\/\/www.britishgas.co.uk\/products-and-services\/hive-active-heating.html\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Hive<\/span><\/a><span style=\"font-weight: 400;\">, for example, we like to test design assumptions by involving our users, designers, product managers, and stakeholders in a collaborative &#8220;game&#8221; during User Labs sessions. Everyone is invited to sit through these sessions and participate with their own ideas and questions. This alone has proven to change perceptions and misconceptions. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">There&#8217;s a big difference between asking someone what their ideal product looks like and literally passing them paper and a pencil to draw what they can&#8217;t articulate. Engaging our users at this level allows them to naturally tap into their creativity and collaborate with us in a &#8220;fun&#8221; way. They feel like a bigger part of the process\u2014which benefits them and us. Instead of giving them dull paper tests, we try to create an atmosphere that empowers the user to teach us instead. They understand the purpose of play and really appreciate participating.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">With 1:1 workshops we establish a number of tasks, where each task is a problem to solve that&#8217;s very similar to those the design team must face. For example, <\/span><i><span style=\"font-weight: 400;\">&#8220;Draw your ideal heating schedule component knowing that you must be able to copy settings from one day to another. It is <\/span><i><span style=\"font-weight: 400;\">our<\/span><\/i><span style=\"font-weight: 400;\"> labor. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">When the designer starts ignoring that egocentric little voice is when real teamwork begins. And it is the designer&#8217;s job to teach people about our terminology, tools, and frameworks. To centralize all of our communication, we use <\/span><a href=\"https:\/\/www.atlassian.com\/software\/jira?_mid=c60b77afb509a6b597f1d45ae2e1f71a&amp;gclid=CjwKEAiAo7C2BRDgqODGq5r38DsSJAAv7dTPOI_r4PapTOLBwvgLg_708cLn_Brbqr0KRS2_WAsB3hoCR27w_wcB\"><span style=\"font-weight: 400;\">Jira<\/span><\/a><span style=\"font-weight: 400;\"> and <\/span><a href=\"https:\/\/www.adalo.com\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Wunderlist<\/span><\/a><span style=\"font-weight: 400;\">, but ultimately, it is our morning stand ups, 1:1s, and workshops that aid UX development, not just the tools we use. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Keeping things simple goes a long way.
