Most people find remote work challenging in some way.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Creative work is particularly disadvantaged when it comes to distributed teams. Our work is visual and entails creative group participation. Many designers can\u2019t imagine running creative work session remotely. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">But our research also shows that remote design is very common: of the <\/span><a href=\"https:\/\/blog.mural.ly\/2015\/08\/remote-design-looks-like-this-an-infographic\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">275 designers we polled<\/span><\/a><span style=\"font-weight: 400;\">, 2\/3 said they deal with remote situations on 80% or more of their projects.<\/span><span style=\"font-weight: 400;\"><br \/>\n<\/span><span style=\"font-weight: 400;\"><br \/>\n<\/span><span style=\"font-weight: 400;\">We also found that about 50% of designers feel that the quality of their work goes down when working remotely. This is a problem. Clearly, if designers are expected to work remotely AND be productive and effective, new processes and tools are needed. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">But don\u2019t despair. With a little practice and forethought, you can continue to design effectively with remote teams. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">From our conversations with and observations of remote designers from around the world, here are the biggest pitfalls we\u2019ve seen at <\/span><a href=\"https:\/\/mural.co\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Mural<\/span><\/a><span style=\"font-weight: 400;\">.<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">1. Not enough preparation. <\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Sounds simple, but people often underestimate the amount of planning required for effective remote collaboration. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">A key recommendation is to break down exercises into small steps and timebox each step. As a completely remote company of 30 employees, we\u2019ve found that hour-long activities break down really well into short spurts of about 2-5 minutes. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">During any remote collaboration workshops, give overly detailed instructions. If you want everyone to look at your screen, make that explicit and repeat what they should be seeing. If you want everyone to add a sketch to a shared folder, communicate exactly where it is and how they should name files. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">For instance, Doug Powell, Design Fellow at IBM, shows in <\/span><a href=\"https:\/\/blog.mural.ly\/2015\/11\/event-recap-designing-at-scale-webinar-with-doug-powell\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">a webinar<\/span><\/a><span style=\"font-weight: 400;\"> how IBMers do what he refers to as \u201cmicro-timeboxing\u201d. They shoot to have short bursts of activity that last only minutes. In doing so, the team completes the activity quickly with maximum participant attention.<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-14546\" src=\"https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image06-6.png\" alt=\"image06\" width=\"720\" height=\"494\" srcset=\"https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image06-6.png 1999w, https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image06-6-437x300.png 437w, https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image06-6-768x527.png 768w, https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image06-6-1024x702.png 1024w\" sizes=\"auto, (max-width: 720px) 100vw, 720px\" \/><\/p>\n<p><span style=\"font-weight: 400;\">The bottom line is that remote design takes more discipline and rigor. Facilitators assume offline techniques work the same way online. <\/span><\/h2>\n<p><span style=\"font-weight: 400;\">The techniques that work perfectly fine offline simply don\u2019t work in remote context. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">For instance, <\/span><a href=\"https:\/\/www.uxbooth.com\/articles\/running-a-successful-user-workshop\/\"><span style=\"font-weight: 400;\">breakout groups<\/span><\/a><span style=\"font-weight: 400;\"> are a staple of <\/span><a href=\"https:\/\/studio.uxpin.com\/ebooks\/guide-to-agile-ux-design-sprints\/\"><span style=\"font-weight: 400;\">design sprints<\/span><\/a><span style=\"font-weight: 400;\"> and <\/span><span style=\"font-weight: 400;\">ideations sessions<\/span><span style=\"font-weight: 400;\">. They tend to not work so well online in real-time sessions, primarily because of the single audio feed: how will breakout groups communicate with each other without everyone else hearing? <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Instead of breakout groups, take turns when working remotely. Have each person work alone at first (with a limited amount of time, of course) and then present back to the group.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">So, design techniques conceived offline need some translation to work online.<br \/>\n<\/span><span style=\"font-weight: 400;\"><br \/>\n<\/span><span style=\"font-weight: 400;\">For example, we partnered with Jeff Gothelf, author of Lean UX, to translate his workshop for a remote context. Together, we ran several sessions where we guided a team of participants through the Lean UX method using our app as a visual collaboration platform.<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-14543\" src=\"https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image03-7.png\" alt=\"image03\" width=\"721\" height=\"324\" srcset=\"https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image03-7.png 1819w, https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image03-7-667x300.png 667w, https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image03-7-768x345.png 768w, https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image03-7-1024x460.png 1024w\" sizes=\"auto, (max-width: 721px) 100vw, 721px\" \/><\/p>\n<p><i><span style=\"font-weight: 400;\">Jeff Gothelf teaches a remote UX workshop. <\/span><\/i><\/p>\n<p><span style=\"font-weight: 400;\">We learned that, in addition to good preparation and timeboxing activities and giving clear instructions, we had to adjust the logistics of Jeff\u2019s course. Here are some things we recommend doing:<\/span><\/p>\n<p><span style=\"font-weight: 400;\">1. Turn breakout groups into individual work followed by a group discussion.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">2. Call on everyone to participate in order so everyone gets a chance to speak. This addresses the difficulty of speaking up or butting into remote conversations.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">3. Designate discussion leads to keep things moving and avoid awkward silences or confusion about who\u2019s going to speak. Be clear about other roles as well, such as note taker and timekeeper.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">4. Play background music during longer activities. 10 minutes of silence during a remote session will feel like a long time. Turning music down at the end of exercise then lets the group know that time\u2019s up. <\/span><\/p>\n<h2><span style=\"font-weight: 400;\">3. Teams don\u2019t capture information digitally. <\/span><\/h2>\n<p><span style=\"font-weight: 400;\">There\u2019s nothing quite like sketching on paper or standing shoulder to shoulder at a whiteboard. Who doesn\u2019t like a good war room?<\/span><\/p>\n<p><span style=\"font-weight: 400;\">But sticky notes and screenshots on a wall in the office are a dead end for anyone not onsite. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Remote team members are effectively locked out of information available only in a physical format. Sure, you can take a photo or point a webcam at a whiteboard for remote folks to see, but that\u2019s both unsatisfying and static itself: once the interaction is over, that information is lost. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">The advice is clear: digitize your information on-the-fly. You can continue to work with pens and paper, but plan how you\u2019ll convert physical artifacts to digital as you create them. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Having an agreed set of tools and locations online to store information in advance helps. But also think about working digitally from the outset. We\u2019re a distributed team spanning 4 time zones, from Buenos Aires to San Francisco. Team meetings, design studios, and brainstorming sessions are done almost exclusively online.<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-14540\" src=\"https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image00-9.png\" alt=\"image00\" width=\"720\" height=\"380\" srcset=\"https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image00-9.png 1795w, https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image00-9-568x300.png 568w, https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image00-9-768x406.png 768w, https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image00-9-1024x541.png 1024w\" sizes=\"auto, (max-width: 720px) 100vw, 720px\" \/><\/p>\n<p><i><span style=\"font-weight: 400;\">Couple of our Mural team members based around the world. <\/span><\/i><\/p>\n<p><span style=\"font-weight: 400;\">For instance, we\u2019ve found this process useful for consolidating design decisions across continents: <\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">At the start of a project, we\u2019ll whiteboard collaboratively within <\/span><a href=\"https:\/\/mural.co\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Mural<\/span><\/a><span style=\"font-weight: 400;\"> (dogfooding our product) \u00a0\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">As we critique ideas, we\u2019ll start separating concepts that feel both feasible and viable. <\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">We iterate the promising ideas into lo-fi prototypes in <\/span><a href=\"https:\/\/www.uxpin.com\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">UXPin<\/span><\/a><span style=\"font-weight: 400;\">, which we can then test within the platform. All further collaborative iterations live in the platform, all the way to an animated hi-fi prototype. <\/span><\/li>\n<\/ul>\n<h2><span style=\"font-weight: 400;\">4. Coworkers fail to communicate frequently enough. <\/span><\/h2>\n<p><span style=\"font-weight: 400;\"><br \/>\n<\/span><span style=\"font-weight: 400;\">Research dating back to the 1970s shows that <\/span><a href=\"https:\/\/en.wikipedia.org\/wiki\/Allen_curve\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">communication decreases as distance increases<\/span><\/a><span style=\"font-weight: 400;\">. Out of sight, out of mind. So how do you make yourself known to others? <\/span><\/p>\n<p><span style=\"font-weight: 400;\">The aim is to make yourself and your work transparent. Here are some simple tactics:<\/span><span style=\"font-weight: 400;\"><br \/>\n<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><b>Schedule weekly design reviews.<\/b><span style=\"font-weight: 400;\"> Hold weekly design reviews via Google Hangouts or Skype to compensate for a lack of spontaneous hallway conversations.<\/span><\/li>\n<\/ul>\n<ul>\n<li style=\"font-weight: 400;\"><b>Post work daily. <\/b><span style=\"font-weight: 400;\">Post all design work to a wiki, blog or shared space on a daily basis. Invite others to comment and critique your design work. Autodesk, for instance, creates a shared product portal that links to all specs and design assets.<\/span><\/li>\n<\/ul>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-14541\" src=\"https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image01-7.png\" alt=\"image01\" width=\"720\" height=\"498\" srcset=\"https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image01-7.png 1224w, https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image01-7-434x300.png 434w, https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image01-7-768x531.png 768w, https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image01-7-1024x709.png 1024w\" sizes=\"auto, (max-width: 720px) 100vw, 720px\" \/><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><b>Do personal check-ins regularly.<\/b><span style=\"font-weight: 400;\"> Plan to have more casual conversations with individual team mates once a month or so. This gives you time to get to know each other and talk about things outside of work.<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">Let\u2019s look at how <\/span><a href=\"https:\/\/hanno.co\/\"><span style=\"font-weight: 400;\">Hanno<\/span><\/a><span style=\"font-weight: 400;\"> (a completely remote design agency) adapted their process. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">The team is distributed across three continents and their clients are all around the world. To smoothen handoffs between team members, they\u2019ve developed the <\/span><a href=\"https:\/\/logbook.hanno.co\/ppp-plans-progress-problems\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">PPP document<\/span><\/a><span style=\"font-weight: 400;\"> (Plans, Progress and Problems). Team members just don\u2019t know each other well enough. <\/span><\/h2>\n<p><span style=\"font-weight: 400;\"><br \/>\n<\/span><span style=\"font-weight: 400;\">The need to meet in person various from person to person, team to team, and organization to organization. Some may only need to meet once a year. Others always meet when kicking off large projects. \u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">For any team to succeed in remote design, they must adapt to each other\u2019s personality and communication styles. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">For instance, in <\/span><a href=\"https:\/\/www.amazon.com\/dp\/B00DVJXI4M\" target=\"_blank\" rel=\"noopener noreferrer\"><i><span style=\"font-weight: 400;\">A Year Without Pants<\/span><\/i><\/a><span style=\"font-weight: 400;\">, Scott Berkun describes his year working at Automattic, a completely remote company. Although an HQ office doesn\u2019t exist, the entire organization still met once a year on a company trip. And Berkun isn\u2019t alone in his experience. Companies like Buffer, and Upworthy are among the <\/span><a href=\"https:\/\/www.flexjobs.com\/blog\/post\/virtual-companies-that-embrace-remote-working\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">125 companies<\/span><\/a><span style=\"font-weight: 400;\"> going fully remote.<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-14544\" src=\"https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image04-5.png\" alt=\"image04\" width=\"720\" height=\"492\" srcset=\"https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image04-5.png 844w, https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image04-5-439x300.png 439w, https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2016\/07\/image04-5-768x525.png 768w\" sizes=\"auto, (max-width: 720px) 100vw, 720px\" \/><\/p>\n<p><span style=\"font-weight: 400;\">Photo credit: Buffer planning their 2015 retreat<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Meeting in person goes a long way in strengthening relationships. Even something as simple as how to interpret a sarcastic smiley-face emoji will indirectly help you collaborate better.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Remote design shouldn\u2019t be 100% work all the time. Treat face-to-face exchanges as an investment in less wasteful iterations later. <\/span><\/p>\n<h2><span style=\"font-weight: 400;\">Conclusion<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Today, being a designer does not guarantee you\u2019ll be sitting next to colleagues all of the time. Remote design is ultimately about keeping your creative momentum going, even when you\u2019re not in the same room.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Don\u2019t be daunted. Moving to remote work doesn\u2019t signify the end of an era of visual work. Rather, it\u2019s an opportunity to think about old practices in exciting new ways. Embrace remote design, you\u2019ll thank yourself later.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The recommendations are clear:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Don\u2019t leave things to chance or try to improvise dialogue.<\/span><\/li>\n<\/ul>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Adjust your methods and techniques so they are appropriate for remote contexts.<\/span><\/li>\n<\/ul>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Plan how you\u2019ll capture and share information digitally in advance. As much as possible, start the interaction in an electronic form.<\/span><\/li>\n<\/ul>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Communicate frequently. It may even feel like over-communicating, but that will avoid misunderstandings and missed cues.<\/span><\/li>\n<\/ul>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Get to know your teammates and, and much as possible, build trust and have some fun. <\/span><span style=\"font-weight: 400;\"><br \/>\n<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">Finally, recognize that each organization is different. What may work for one organization, may not work for you. Find what works best for you.
