How will this project deliver an <a href=\"https:\/\/www.uxpin.com\/studio\/blog\/design-roi-calculations\/\" target=\"_blank\" rel=\"noreferrer noopener\">ROI for design<\/a> and the organization?<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-why-do-you-need-a-business-case-for-ux\">Why do you need a Business Case for UX?<\/h3>\n\n\n\n<p><a href=\"https:\/\/www.uxpin.com\/studio\/blog\/evangelizing-ux-how-design-leaders-win-buy-in\/\" target=\"_blank\" rel=\"noreferrer noopener\">Getting buy-in from stakeholders can be challenging<\/a>, particularly for UX projects. Many non-designers don&#8217;t understand user-centered design principles or design thinking and are reluctant to make design investments.<\/p>\n\n\n\n<p>Your UX business case must show stakeholders how improving a product&#8217;s customer experience is good for the bottom line. For example, a design system is a significant investment. Stakeholders often can&#8217;t see how a <a href=\"https:\/\/www.uxpin.com\/studio\/blog\/ui-component-library\/\" target=\"_blank\" rel=\"noreferrer noopener\">library of reusable components<\/a> will deliver business value, so designers must demonstrate this value through a business case.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-delivery-hero-s-business-case-value-proposition\">Delivery Hero&#8217;s Business Case Value Proposition<\/h2>\n\n\n\n<p>Delivery Hero is an excellent example of using a value proposition in a business case for a design system. After several attempts at pitching their design system to stakeholders, Delivery Hero&#8217;s product design team realized they had to make a more convincing case, including a real-world case study and value proposition.<\/p>\n\n\n\n<figure class=\"wp-block-embed is-type-video is-provider-youtube wp-block-embed-youtube wp-embed-aspect-16-9 wp-has-aspect-ratio\"><div class=\"wp-block-embed__wrapper\">\n<iframe loading=\"lazy\" title=\"Enterprise Design System \u2013 How to Build and Scale Webinar\" width=\"660\" height=\"371\" src=\"https:\/\/www.youtube.com\/embed\/in4axiKk-uE?feature=oembed\" frameborder=\"0\" allow=\"accelerometer; autoplay; clipboard-write; encrypted-media; gyroscope; picture-in-picture; web-share\" referrerpolicy=\"strict-origin-when-cross-origin\" allowfullscreen><\/iframe>\n<\/div><\/figure>\n\n\n\n<div style=\"height:20px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p>Delivery Hero&#8217;s product design team used a single screen to compare building a user interface with and without a design system. The results were staggering:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Building without a design system &#8211; total time: 7.5 hours<\/li>\n\n\n\n<li>Building as a reusable component &#8211; total time: 3.25 hours<\/li>\n<\/ul>\n\n\n\n<p>The experiment demonstrated a 57% time reduction in front-end effort and zero percent front-end debt with a reusable component.<\/p>\n\n\n\n<p><a href=\"https:\/\/www.uxpin.com\/studio\/blog\/fighting-front-end-debt\/\" target=\"_blank\" rel=\"noreferrer noopener\">Front-end debt<\/a> had become a compounding issue for Delivery Hero, so eliminating this problem and reducing delivery time by almost 60% demonstrated a significant return on investment for stakeholders.<\/p>\n\n\n\n<p>Delivery Hero&#8217;s stakeholders were impressed with the results and gave the go-ahead for the company&#8217;s design system, Marshmallow\u2013<a href=\"https:\/\/www.uxpin.com\/studio\/blog\/adopting-design-system\/\" target=\"_blank\" rel=\"noreferrer noopener\">read more about Delivery Hero&#8217;s story here<\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-what-should-you-include-in-a-ux-business-case\">What should you include in a UX Business Case?<\/h2>\n\n\n\n<p>Now that you understand a business case&#8217;s purpose and importance let&#8217;s explore the points to include.&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Executive Summary<\/li>\n\n\n\n<li>Mission Statement<\/li>\n\n\n\n<li>Market<\/li>\n\n\n\n<li>Problem Statement<\/li>\n\n\n\n<li>Proposed Solution &amp; Value Proposition<\/li>\n\n\n\n<li>Risks<\/li>\n\n\n\n<li>Roadmap<\/li>\n\n\n\n<li>Required Resources<\/li>\n\n\n\n<li>Team<\/li>\n<\/ul>\n\n\n\n<p>It&#8217;s important to note that you won&#8217;t always use all these points, only those relevant to your business case and project. The goal is to keep your business case thorough but concise. It&#8217;s usually a few sentences and can appear on the same slide as your executive summary. The mission statement guides the design process while uniting team members and stakeholders on a common idea and purpose.<\/p>\n\n\n\n<p>Check out ProjectManager&#8217;s article, <em>&#8220;<\/em><a href=\"https:\/\/www.projectmanager.com\/blog\/mission-statement-with-examples\" target=\"_blank\" rel=\"noreferrer noopener nofollow\"><em>How to Write a Mission Statement<\/em><\/a><em>.&#8221;<\/em><\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-the-market-or-users\">The Market (or Users)<\/h3>\n\n\n\n<p>If your UX business case is for an internal initiative, you can replace this section with <em>The Users<\/em> and identify who your project aims to serve. For example, a design system helps product, UX, and engineering teams, but it also positively impacts end-users. You can represent your end-users with personas so stakeholders can empathize with real people.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-problem-statement\">Problem Statement<\/h3>\n\n\n\n<p>Your problem statement outlines a key issue, who it impacts, and its effect on the business. Laura van Doore, a Design Manager at Atlassian, says, <em>&#8220;<\/em><a href=\"https:\/\/uxdesign.cc\/building-a-compelling-business-case-for-a-design-system-489899cd0751\" target=\"_blank\" rel=\"noreferrer noopener nofollow\"><em>there are two parts to executing a good problem statement<\/em><\/a><em>.&#8221;<\/em><\/p>\n\n\n\n<p><strong>Problem Selection:<\/strong>&nbsp;<\/p>\n\n\n\n<p><em>&#8220;Select and emphasize problems that will appeal to your audience.&#8221;<\/em>&nbsp;<\/p>\n\n\n\n<p>When pitching to stakeholders, demonstrate how the problem impacts the business, rather than only focusing on the design team.&nbsp;<\/p>\n\n\n\n<p>In Delivery Hero&#8217;s case, the product team showed that their current project workflow accumulated front-end debt, inconsistencies, and slow time-to-market, ultimately costing the business time and resources.<\/p>\n\n\n\n<p>If you&#8217;re presenting a problem that directly impacts users, you may want to include <a href=\"https:\/\/www.uxpin.com\/studio\/documentation\/ux-artifacts\/\" target=\"_blank\" rel=\"noreferrer noopener\">UX artifacts<\/a> like a <a href=\"https:\/\/www.uxpin.com\/studio\/blog\/customer-journey-mapping-mistakes\/\" target=\"_blank\" rel=\"noreferrer noopener\">customer journey<\/a>, user research, and other UX insights to give stakeholders a clear understanding of the issue.<\/p>\n\n\n\n<p><strong>Framing the Problem:<\/strong><\/p>\n\n\n\n<p>Laura&#8217;s next step is to frame the problem around your target audience:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Identify the core problem<\/li>\n\n\n\n<li>Outline who the problem impacts and how<\/li>\n\n\n\n<li>Describe the adverse effects on your audience and the business<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-proposed-solution-value-proposition\">Proposed Solution &amp; Value Proposition<\/h3>\n\n\n\n<p>Describe how your solution solves the company&#8217;s problem and its value proposition. The value proposition is critical for your business case. It describes the value and return on investment (ROI).<\/p>\n\n\n\n<p>Stakeholders are less concerned about solving workflow issues than business-related impacts. How will you reduce costs, increase revenue, improve time-to-market, or make the product more competitive?<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-risks\">Risks<\/h3>\n\n\n\n<p>A thorough business case also considers the risks and how you plan to tackle them. Stakeholders like to see that you&#8217;ve looked at your solution from multiple angles and prepared for potential issues.<\/p>\n\n\n\n<p>In her article, <a href=\"https:\/\/uxdesign.cc\/building-a-compelling-business-case-for-a-design-system-489899cd0751\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">Laura van Doore from Atlassian says<\/a>, <em>&#8220;Be realistic, rather than utopian&#8230;If you sell the dream too much and present a utopian story of success-only, your case will seem too biased and might get chucked to the bottom of the pile.&#8221;<\/em><\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-roadmap\">Roadmap<\/h3>\n\n\n\n<p>Another critical element to your business case is a timeline or roadmap. How long will it take to deliver the project, and when can the company expect to see the value you outline in your solution. What are your KPIs so stakeholders can monitor progress?<\/p>\n\n\n\n<p>Again, it&#8217;s important to use relevant business metrics. For example, when discussing human resources, estimate the total hours per department, i.e., design, product, engineering, etc. This breakdown allows stakeholders to see how the project affects the company&#8217;s human resources and other projects.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-required-resources\">Required Resources<\/h3>\n\n\n\n<p>What resources will your project need?\u2013human, financial, technical, design, etc. If possible, include multiple scenarios to give stakeholders options based on available resources.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"750\" height=\"300\" src=\"https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2022\/05\/lo-fi-pencil.png\" alt=\"lo fi pencil\" class=\"wp-image-35476\" srcset=\"https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2022\/05\/lo-fi-pencil.png 750w, https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2022\/05\/lo-fi-pencil-700x280.png 700w\" sizes=\"auto, (max-width: 750px) 100vw, 750px\" \/><\/figure>\n\n\n\n<p>Think about what resources you&#8217;ll need before, during, and after the project delivery. For example, a design system requires a design audit before you start, people to build and deliver it, and a team to manage and scale it. As a <a href=\"https:\/\/www.uxpin.com\/studio\/blog\/design-system-maturity-how-to-improve-your-design-system\/\" target=\"_blank\" rel=\"noreferrer noopener\">design system matures<\/a>, it requires more resources.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-team\">Team<\/h3>\n\n\n\n<p>Describe your core team behind the business case and the people you&#8217;ll need to deliver and scale the project, most notably:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>UX Designers<\/li>\n\n\n\n<li>Engineers<\/li>\n\n\n\n<li>Product managers<\/li>\n\n\n\n<li>Analysts<\/li>\n\n\n\n<li>Stakeholders<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-best-practices-for-a-strong-ux-business-case\">Best Practices for a Strong UX Business Case<\/h2>\n\n\n\n<p>We&#8217;ve borrowed some of these best practices from our May 2022 webinar, <a href=\"https:\/\/www.uxpin.com\/studio\/webinars\/enterprise-design-system-webinar\/\" target=\"_blank\" rel=\"noreferrer noopener\">Enterprise Design System \u2013 How to Build and Scale<\/a>, with Amber Jabeen, DesignOps Director at Delivery Hero MENA (talabat).<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-1-start-with-a-real-pain-point\">1. Start with a <strong><em>real<\/em><\/strong> pain point<\/h3>\n\n\n\n<p>Your business case must include a pain point that adversely impacts the product, its users, and the business. Stakeholders are less likely to take action if you only show how a problem affects team members.&nbsp;<\/p>\n\n\n\n<p>Suppose you can prove that problem creates rework <em>(extra cost)<\/em>, usability issues <em>(losing users and producing costly support tickets)<\/em>, technical debt <em>(extra cost)<\/em>, and slow time-to-market <em>(less competitive and revenue loss)<\/em>. In that case, you have a real pain point to grab stakeholders&#8217; attention.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-2-build-a-value-proposition\">2. Build a value proposition<\/h3>\n\n\n\n<p>Build a value proposition around your pain point. Your solution must solve the issue and deliver a return on investment. Remember to be realistic and show stakeholders you have weighed the risks.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-3-identify-your-biggest-supporters-and-sponsor\">3. Identify your biggest supporters and sponsor<\/h3>\n\n\n\n<p>Finding leaders and stakeholders outside of UX to support your business case will give it more weight. They will advocate that:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>The problem you identify is real.<\/li>\n\n\n\n<li>Your solution and value proposition are the best option.<\/li>\n<\/ol>\n\n\n\n<p>Include these advocates in your business case and possibly a quote from your most influential stakeholder.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-4-show-before-you-tell\">4. Show before you tell<\/h3>\n\n\n\n<p>People outside of UX have trouble understanding user experience and <a href=\"https:\/\/www.uxpin.com\/studio\/blog\/stages-design-thinking-process\/\">design thinking principles<\/a>.
