Design lead at Atlassian, Alastair Simpson, <a href=\"https:\/\/medium.com\/designing-atlassian\/7-tips-to-create-high-functioning-design-teams-part-1-1e0c9ea44f0d\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">has a simple daily morning coffee ritual format<\/a>. He asks team members what they did over the weekend and what work challenges they&#8217;re experiencing.<\/p>\n\n\n\n<p>In these informal settings, team members often think more freely and openly, resulting in solutions and ideas to solve big challenges.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-3-weekly-1-1s\">3. Daily Stand-ups<\/h3>\n\n\n\n<p><strong>Environment:<\/strong> In-office or Zoom<\/p>\n\n\n\n<p><strong>Benefits:<\/strong> Excellent for quickly communicating daily progress and issues<\/p>\n\n\n\n<p>Stand-ups are an agile exercise where team members share their daily progress and any blockers\/challenges. The format is simple. Each person stands up and briefly answers three questions:<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>What did I work on yesterday?<\/li><li>What am I working on today?<\/li><li>What issues are blocking me?<\/li><\/ol>\n\n\n\n<p>There are various stand-up adaptations, like a weekly version or an additional question, <em>&#8220;What am I planning to do tomorrow\/next week?&#8221;<\/em>&nbsp;<\/p>\n\n\n\n<p>A morning stand-up ritual is an excellent way to align designers, develop daily communication, and keep everyone on the same page.<\/p>\n\n\n\n<p>Atlassian&#8217;s &#8220;<a href=\"https:\/\/www.atlassian.com\/agile\/scrum\/standups\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">Stand-ups for agile teams<\/a>&#8221; goes into greater detail with best practices and running virtual stand-ups for remote teams.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-5-check-in-check-out\">5. Check-in\/Check-out<\/h3>\n\n\n\n<p><strong>Environment:<\/strong> In-office or Zoom<\/p>\n\n\n\n<p><strong>Benefits:<\/strong> Great for keeping teams connected<\/p>\n\n\n\n<p>Morning check-in and afternoon check-out rituals are excellent for keeping teams connected. These check-ins work especially well for remote teams where some members never see each other.<\/p>\n\n\n\n<p>Check-in rituals are informal and can be fun. Keep things light-hearted, so team members enjoy these brief times together. Jo\u00ebl van Bodegraven, a Product Designer at Miro, <a href=\"https:\/\/medium.com\/digital-experience-design\/5-rituals-to-transform-your-design-team-3e7fb830fb40\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">has a four-step check-in format<\/a>:<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li><strong>Step 1:<\/strong> Gather in a circle or huddle.<\/li><li><strong>Step 2:<\/strong> The lead or facilitator drops a question\u2013<em>&#8220;Ok, team, how are you feeling this morning?&#8221;<\/em> Team members can answer in one or two sentences about how they feel that morning\/afternoon.<\/li><li><strong>Step 3:<\/strong> Allow everyone to have their say.<\/li><li><strong>Step 4:<\/strong> End with a team clap, something funny or energizing to lift everyone&#8217;s spirits before heading into their next task.<\/li><\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"750\" height=\"300\" src=\"https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2022\/04\/process-direction-1.png\" alt=\"process direction 1\" class=\"wp-image-34870\" srcset=\"https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2022\/04\/process-direction-1.png 750w, https:\/\/www.uxpin.com\/studio\/wp-content\/uploads\/2022\/04\/process-direction-1-700x280.png 700w\" sizes=\"auto, (max-width: 750px) 100vw, 750px\" \/><\/figure>\n\n\n\n<p>One way Jo\u00ebl makes his check-ins fun is by creating random themes, for example:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Check-in as a superhero<\/li><li>Check-in as an animal<\/li><li>Check-in as an actor<\/li><li>Check-in as another team member<\/li><\/ul>\n\n\n\n<p>You get the idea.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-how-to-create-a-ritual\">How to Create a Ritual?<\/h2>\n\n\n\n<p>Rituals work best when they have a purpose or fix a problem\u2013like improving communication or boosting morale. <a href=\"https:\/\/www.fearlessculture.design\/blog-posts\/build-team-rituals\">Fearless Culture has an excellent five-step plan<\/a> for creating a team ritual.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-step-1-identify-the-problem\">Step 1: Identify the problem<\/h3>\n\n\n\n<p>What is the cultural problem you&#8217;re trying to solve?<\/p>\n\n\n\n<p>Does your team feel fragmented by poor communication?<\/p>\n\n\n\n<p>Is there tension among team members?<\/p>\n\n\n\n<p>Set up 1:1s with team members to get their perspectives. Fearless Culture recommends asking team members to list five problems, identify a top five, and get everyone to vote. Involving team members increases the likelihood of getting team buy-in.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-step-2-reframe-the-problem-into-a-challenge\">Step 2: Reframe the problem into a challenge<\/h3>\n\n\n\n<p>Use the <em>&#8220;How might we&#8230;?&#8221;<\/em> format to turn the problem into a challenge. Ask your team to share what people do, say, and think when the problem arises.<\/p>\n\n\n\n<p>For example, you might find team members don&#8217;t feel appreciated for their work. Create an enjoyable experience team members are excited to partake.<\/li><li>Arki Sudito recommends you don&#8217;t call your ritual a ritual. Many people are skeptical of ritualistic or culture-building practices.<\/li><li>Keep it cheap and &#8220;lightweight.&#8221; Anything that costs money risks scrutiny from stakeholders, prematurely ending your ritual.<\/li><li>Ensure your ritual takes place at a convenient time. You don&#8217;t want to interrupt important workflows and processes.<\/li><li>Make sure your ritual offers underlying value, intention, and purpose for team members.
